We provide bookkeeping and related services to small businesses and organizations across the United States.

2. Information We Collect

We collect business information needed to perform bookkeeping services, such as:

– Business name, address, contact information, and financial records.

– EIN, SSN (for business entities when required), and banking details.

– Access to QuickBooks Online, Dropbox, and other tools used for bookkeeping and file sharing.

We do not request unnecessary personal information unrelated to your business services.

3. How We Collect Information

Information may be collected through:

– Direct communication by phone, text message, or email.

– File sharing systems such as Dropbox and QuickBooks Online.

– Secure uploads, or other client-approved communication methods.

– Optional newsletter sign-ups through our website or by email.

If you visit our website, it may use cookies or analytics tools to improve performance, but we do not use this data to personally identify visitors.

4. How We Use and Protect Your Information

Your information is used only to provide bookkeeping and financial record services.

We do not share, sell, or disclose your data to outside parties except:

– When you give written consent, or

– When required by law (for example, in response to a subpoena or legal request).

All staff and contractors of Bookkeeping Made Simple are bound by confidentiality agreements

(NDAs) and trained to protect client information.

We use secure systems such as QuickBooks Online, Dropbox, and RingCentral for communication and data management. These tools are used solely for internal purposes and to perform contracted services.

5. Text Message and Phone Communication

Text messages and phone communications between you and Bookkeeping Made Simple are used for internal business purposes only.

Only team members of Bookkeeping Made Simple may view or respond to business-related texts.

Employees shall not share, forward, or disclose any sensitive client information without written permission from the client.

6. Client Rights and Data Access

Clients have the right to request basic financial reports (such as a Profit & Loss Statement or Balance Sheet) from Bookkeeping Made Simple.

– A 30-day notice is required for any client requesting access to their QuickBooks Online data.

– Report turnaround time depends on the number and complexity of reports requested.

– Additional fees may apply if preparing reports causes excessive bookkeeping time, charged at the current hourly rate.

Bookkeeping Made Simple retains financial data for seven (7) years while the company remains open.

If payments are stopped or a client discontinues service, we will no longer have access to QuickBooks Online. It is the client’s responsibility to maintain their own records, receipts, and financial logs.

7. Corrections and Record Requests

We may not be able to delete financial data. However, if you need corrections within QuickBooks, we require written permission before making any edits or adjustments.
